Customer Service for the Appointment Line

Most calls to a clinic aren't about medicine. They're about an appointment that needs moving or a bill nobody explained. Voice AI Agent takes those administrative calls, and it's set up to hand clinical questions to your staff with the details already taken.

What goes wrong

Where the appointment line breaks

Your reception answers the phone between the patients standing in front of it. The calls that stack up are mostly administrative, and they hold the line for the ones that aren't.

  • The Morning Rush on the Phones

The lines open, and everyone who woke up needing an appointment calls at the same moment.

  • A Referral Nobody Can Find

A patient calls to ask whether the referral arrived, and the person who answers has no quick way to check.

  • A Bill Explained Again

An invoice that splits the insurer's share from the patient's gets the same explanation on call after call.

  • A Missed Appointment Nobody Moved

A patient who couldn't get through to cancel simply doesn't come, and the slot sits empty while someone else waits for one.

What the platform does

The administrative calls, answered

Visor's AI agents take the administrative side of the line, and your staff keep everything clinical. The agents don't give clinical advice, and they're set up to pass a clinical question to a person.

Tested Before a Patient Hears It

You write the scenarios your appointment line really sees, like the patient moving a consultation, or the one asking about a test result, who has to reach a person. Each one runs against the agent repeatedly, with success criteria you set, so you know how it behaves before it answers a patient.

Test Suites: Test health shows 3 suites failing, with 13 of 37 tests passing and 3 suites not run in over two weeks, next to a Nexa summary, and a Performance Over Time chart with success rates across the latest 7 runs

Clinical Questions Go to a Person

In Chat AI Agent you describe, in plain language, what the agent must not handle, such as a symptom or a question about medication. A conversation that matches is flagged critical, and a person on your team steps in. The agent isn't set up to give clinical advice, and it doesn't try.

An Issue Agent's flag criteria: plain-language rules grouped as critical, high, medium and low, each describing when a conversation should be flagged for human help

Appointments on Your Website and WhatsApp

Many patients would rather write than call. Chat Agent answers on your website and on WhatsApp with the practical things, like where to go and what to bring, and with your scheduling system connected it can move an appointment without anyone picking up the phone.

Billing and Insurer Questions

Questions about an invoice, or about which insurers you work with, are answered from the documents you publish, kept in sync with the knowledge base. Compare with index shows when a replaced price table was never reindexed, so the answer matches this year's prices.

Knowledge Management: a folder of product documents the agent answers from, each with its last sync, the Check integrity, Reindex and Compare with index actions, and storage usage

A word on health data

Health data is special-category data under the GDPR. Before go-live, we agree with your data protection officer what the agents may ask for, and where conversations and recordings are kept. The agents are set up for administrative contact, and the scope written before work starts says so.

How we deploy

  • A dedicated Visor.ai team

From kickoff to go-live, you work with named people who know your project, whether you come to us directly or through a partner.

  • Clear scope, no surprises

We agree on what's in and what's out before we start, so everyone knows what success looks like.

  • Built to be measured

Performance metrics are part of the build, so you see results from your first day in production.

  • Tested with your team

We test end to end, then your team validates it in real conditions before launch.

  • Your team, in control

We train your people to run the platform confidently, and we stay by your side for as long as you need us.

An honest word on reliability

The models generate each answer in the moment and can occasionally fail. Visor's work is to contextualise them, apply controls and tune continuously. The solution runs on specialist providers who, like any provider, do not guarantee total availability. Judge the AI Agent by the standard you would apply to an experienced colleague: consistent and improving performance, not infallibility. The go-live is the start of the improvement, not the end of the project.
